We only receive aggregated statistics from these platforms, together with any public profile information, comments and messages you choose to share with us. You can exercise your rights with the platform directly or with us, and we will pass on your request where necessary.
9. Job applicants
This section applies if you apply for a role with Ardmore by email or through LinkedIn, including if you send us a speculative application.
What we collect
your CV, cover letter and contact details;
your employment history, qualifications, skills and any other information you choose to include in your application;
notes from interviews and any assessments; and
references, which we will only request with your knowledge.
Please do not include special category data in your application (for example, information about your health, religion or ethnicity) unless it is relevant to the role or you need us to make adjustments to the recruitment process.
Why we use it and our lawful basis
We use your application to assess your suitability for the role, communicate with you, arrange interviews and, if you are successful, make you an offer. We do this because it is necessary to take steps at your request before entering into a contract of employment, and because we have a legitimate interest in recruiting suitable people. Where we need to confirm your eligibility to work, we do so to comply with a legal obligation.
If you apply through LinkedIn, LinkedIn also processes your data as an independent controller under its own privacy policy.
Who can see your application
Your application is accessed only by our HR team. It is stored securely in our email and IT systems, which are provided by Microsoft. We do not share your application with anyone else without your permission, unless we are required to do so by law.
How long we keep it
If you are successful, your application will form part of your employee record. How long we keep it will be set out in the terms agreed when you are hired and in our employee privacy information.
If you are unsuccessful, we will delete your application 6 months after the role has been filled, unless you agree that we can keep it for future opportunities.
Keeping your CV for future opportunities
We will only keep your CV to consider you for future vacancies if you give us your consent. If you agree, we will keep it for 12 months and may contact you about suitable roles during that time. You can withdraw your consent at any time by emailing privacy@ardmoreshipping.com, and we will delete your CV.

You have the same data protection rights as set out in section 14. We do not use automated decision-making in our recruitment process.

We do not sell your personal data. We share it only where necessary for the purposes described in this notice, with:

Whenever we transfer personal data outside the EEA, we make sure it is protected in one of the following ways:
the European Commission has decided that the country provides an adequate level of protection (for example, the United Kingdom);
for transfers to United States organisations certified under the EU-U.S. Data Privacy Framework, that certification;
for transfers within the Ardmore group, our intra-group data transfer agreement, which incorporates the European Commission's Standard Contractual Clauses; and
for transfers to other recipients, including in Bermuda, Singapore and the United States, the European Commission's Standard Contractual Clauses, together with any supplementary measures needed.
You can request more information about these safeguards, or a copy of them, by contacting privacy@ardmoreshipping.com.

These include encryption of data in transit (HTTPS), access controls, multi-factor authentication, staff training and contractual obligations on our service providers. We have procedures in place to deal with any personal data breach and will notify you and the Data Protection Commission where we are legally required to do so.
14. Your data protection rights
Subject to certain conditions and exceptions under the GDPR, you have the right to:
Access: obtain confirmation of whether we process your personal data and a copy of it;
Rectification: have inaccurate or incomplete personal data corrected;
Erasure: have your personal data deleted in certain circumstances;
Restriction: ask us to limit how we use your personal data in certain circumstances;
Portability: receive personal data you have provided to us in a structured, machine-readable format, or have it sent to another organisation, where processing is based on consent or contract and carried out by automated means;
Objection: object to processing, as explained in section 5;
Withdraw consent: at any time, where we rely on consent; and
Complain: lodge a complaint with a supervisory authority (see section 15).
To exercise any of these rights, email privacy@ardmoreshipping.com or write to us at the address in section 1. We may need to ask you for information to confirm your identity. We will respond within one month of receiving your request. If your request is complex or you have made several requests, we may extend this by up to two further months, and we will tell you if we need to do so.
Exercising your rights is free of charge. However, if a request is manifestly unfounded or excessive, in particular because it is repetitive, we may charge a reasonable fee or refuse to act on it, as the GDPR permits.
15. Complaints
If you have a concern about how we use your personal data, please contact us first at privacy@ardmoreshipping.com and we will do our best to resolve it.
You also have the right to lodge a complaint with a data protection supervisory authority, in particular in the EU country where you live, work or where you believe an infringement took place. In Ireland, this is:
